Whether it’s a high-energy football match, a fast-paced motorsport event, or a VIP stage experience, doing your homework is non-negotiable. Let’s explain why recces are the unsung hero of behind-the-scenes prep.    

1. Get your bearings (and avoid the scenic route)

Have you ever tried leading a group, only to realise halfway through that you’re heading for the cleaner’s cupboard instead of the VIP lounge? A site recce ensures you’re not just winging it. Knowing the layout and routes is key, from entrances to fire exits (and all the important bits in between).   
 
When we scoped out the Tottenham Hotspur Stadium for bp, we learned the best routes, security processes, areas guests can and can’t access, facilities and which doors lead to the fastest routes. This meant we were fully prepared to confidently lead our VIPs through the venue.  

2. Stay ahead on HSSE (Health, Safety, Security, and Environment)

HSSE isn’t just a fancy acronym we throw around, it’s serious stuff. We scout fire exits, identify alarms, understand disaster processes, and plot evacuation routes because safety isn’t just a checkbox; it’s our priority. Risk assessments? Done. Emergency plans? Nailed.   
 
This dedication to safety was evident at a recent brand activation, where a client’s Head of HSE&C was impressed by how we seamlessly combined thrilling experiences with comprehensive safety measures. Guests could enjoy the excitement while feeling completely secure, leaving with unforgettable memories and big smiles. Nailed.   

3. Crack the international code 

For overseas events, we arrive early, scope everything out, and ensure smooth sailing. Lost luggage or language barriers? It happens. But we plan, and we always ensure we know where the local shops are, and we even pack spare essentials just in case.   

We arrive early for our F1 grandstand programmes to ensure everything meets expectations. These on-the-ground insights give us the flexibility to tackle any last-minute challenges, from local logistics to weather surprises. 

4. Create a game plan   

A recce allows you to finalise strategies, test setups, and preempt potential issues. For instance, we mapped out various scenarios before an ice-driving event to ensure smooth transition between activities. This preparation made for a stress (and frostbite)-free experience for everyone involved.

5. Walk the walk with clients    

Recces aren’t just about logistics; they’re about relationships. Walking around the venue with your client helps align expectations and build trust. It also demonstrates that you’ve thought of everything, from the minute details to the big picture.  

6. Team bonding (over a strong Wi-Fi signal)

The recce doesn’t end when you leave the site. Back at HQ, think of a debrief with the team as a post-match analysis, except that instead of goals, you’re talking about guest flows, catering logistics, and power outlets. Fresh eyes and input from the wider team ensure no detail slips through the cracks.   

7. Because smooth events don’t happen by magic   

Every flawless event has a not-so-flawless planning phase, and the magic begins with a recce. It’s your chance to identify the extra details and see where value can be added so clients don’t have to.
